The Problem

The existing ERP couldn’t accept document attachments, email-based invoicing caused payment delays, and poor file storage hindered customs certification.

  • ERP Limitations: Their ERP system only accepted data entry. Employees could not attach supporting documents to workflow transactions.
  • Invoice Chaos: Vendors submitted invoices via email, making tracking difficult, delaying payments, and causing vendor complaints.
  • Compliance Blockers: Unstructured physical document storage prevented them from achieving AEO certification.

How We Solved It

We implemented MaxFiles EDMS and custom portals to bridge their operational gaps:

  • ERP Integration: Documents are now processed in MaxFiles, generating a secure link that is easily attached directly to the ERP workflow.
  • Vendor Portal: We built an external portal where vendors upload invoices, which automatically flow into the MaxFiles EDMS.
  • AEO Digitization: We digitized and structured their document storage to meet strict customs compliance standards.
